It takes a special person to volunteer to be an executive officer for the Steeplechasers. Executive Officers are not just passionate about running. They are passionate about the Steeplechasers – supporting the membership, promoting the club, and serving not just the local running community, but the community-at-large through the club’s charitable activities.
Executive Officers serve two-year terms. Nominations are currently being taken for the 2019-2020 term. If you would like to be considered for one of the positions below, please contact president@staging.steeplechasers.org.

The following duties are performed by the President:
- Lead quarterly board meetings
- Provide “President’s Welcome” at semi-annual general membership meetings
- Provide “President’s Message” for quarterly newsletter
- Provide “Annual Report” based on finanancial information from treasurer, and current club activities
- Choose President’s award to be given at the January annual banquet/membership meeting
- Participate in budget process, and review financial reports
- Review status of all major programs and committees, and see that volunteer vacancies are filled in support of such programs and committees
- Function as club representative/spokesperson to the community
- Actively attend/support/volunteer at as many club activities as possible, including social events, major races, training events, meetings
- Support smooth leadership transitions
- Handle internal and external issues as they arise with support from the other officers and board members
Vice President
The following duties are performed by the Vice President:
- Fill in if the president needs to be absent from meetings or other significant club events
- Actively attend/support/volunteer at as many club activities as possible, including social events, major races, training events, meetings
- Lead at least one significant club committee or initiative
- Participate in budget process, and review financial reports
- Support the President in the day-to-day functions, policies and issues of the club
- Be willing / able to step in to position of President, if need arises
- Be willing to consider role of President in the following term
Treasurer
The following duties are performed by the Treasurer:
- Receive and deposit income (membership fees, sponsorships, donations, race management fees)
- Pay club bills via check or debit card, including reimbursement of volunteers for club/race expenses
- Record all financial transactions in accounting system software, and ensure that data is adequately backed up
- Reconcile bank statements with accounting system monthly and report to at least one other officer
- Develop and deliver financial reports at quarterly board meetings
- Oversee the budget planning process and report against the budget quarterly/annually
- Securely maintain financial records (invoices, receipts, bank statements, financial reports)
- File appropriate tax forms (990) with the IRS each year
- File appropriate tax and other forms with the State of Maryland
- Create form 1099 for independent contractors
- Manage the financial aspects of the FSRC race services business, including customer agreements/contracts, invoices, payments
- Support the President in the day-to-day functions, policies and issues of the club
- Maintain club equipment inventory
- Maintain relationship with RRCA, including renewal of dues/insurance and registration of club races
Secretary
The following duties are performed by the Secretary:
- Announce the quarterly board meetings and twice-yearly annual membership meetings
- Distribute meeting agendas
- Take minutes at meetings and distribute for review/revision
- See that agendas and minutes are retained using a secure document retention process (such as Google Drive)
- Support the President in the day-to-day functions, policies and issues of the club
